REQUIREMENTS
DRK Stormarn was struggling to control the vast amounts of paperwork and files, especially when trying to comply with legal requirements. The association finally decided to remedy this problem with a digital document management system. Time consuming searches for important documents were slowing down daily company workflows and everybody realised that they could only speed up decision-making by providing information quickly and efficiently. By using an electronic document management system, they could minimise manual data entry as well as capture data from scanned documents. The German Red Cross DRK Stormarn needed an EDMS to focus on their essential daily work and speed up admin processes.
IMPLEMENTATION
Once initial employee uncertainties were overcome thanks to a successful test phase, DRK Stormarn went live successfully with AMAGNO in March 2018. Everyone immediately noticed the benefits of AMAGNO and started using it as the central repository for all important documents. Then they began to securely manage all files relating to the nursery-age children in the 23 nurseries in the district and identify specific types of documents with legal storage periods or deletion requirements according to data protection regulations. In future, DRK Stormarn plans to implement the software throughout the entire company, including the general management, the social carers as well as the external locations, to enable cross-company and location workflows and improved communication between the different entities. Each department and institution should adapt their workflows individually to AMAGNO and design them according to their wishes.
